Announce Your Move to Eversports - Newsletter Template

This template helps you inform your customers about your upcoming migration to Eversports via a clear email announcement.

Before migrating your studio to Eversports, it’s important to inform your customers about the upcoming change. To make this easier for you, we have provided two customisable email templates that you can adapt and send out:

  • The first template is intended for studios that are joining Eversports and have not previously used a management system.

  • The second template is for studios that are switching from another software provider to Eversports.


1st Template: New to Software - Informing Your Customers About Eversports

Dear [Studio Name] Community,

We are excited to let you know that we'll soon be using Eversports, our new booking and management system. 

Very shortly, you will receive an invitation email from Eversports. Please click the verification link in that email to create your personal Eversports account. If you already have an Eversports account, you won't need to create a new one. 

Once registered, you can log in via our schedule or the Eversports app using your email and password. From there, you'll have full access to your bookings, memberships, products, and you can manage your visits by yourself - all in one place.

Why Eversports and what are your advantages?

  • Easy booking: Book your classes online at any time, from anywhere.

  • Secure payments: Purchase single classes, multi-passes, memberships or time cards, and receive your invoice immediately.

  • Privacy first: Your data is protected under the latest General Data Protection Regulation (GDPR) GDPR regulations and will never be shared or used otherwise.

  • App access: Download the Eversports app (on iOS and Android) to easily track your past and upcoming bookings, see your remaining credits, and manage everything on the go. 

  • Calendar sync: Choose to export your bookings to your personal Google Calendar to stay informed and get automatic reminders.

  • Guaranteed spots: Every booking guarantees your place in class - no surprises!

2nd Template: Software Switch – Informing Customers About the Change to Eversports

Dear [Studio Name] Community,

We’re excited to share some important news with you:
We are changing our booking system and will soon be using Eversports to manage all class bookings, passes, and memberships.

This change allows us to offer you a more reliable and user-friendly experience, both in the app and on the web. With Eversports, you’ll benefit from an intuitive booking process, a clearer overview of your active products, and an easy-to-use mobile app that makes managing your schedule even more convenient.

What happens next?

In the coming days, you will receive an email from Eversports inviting you to activate your account. This is an important step, as it will give you immediate access to your existing passes and enable you to book classes as usual - now via the Eversports platform.

All your existing memberships and class passes have already been transferred to Eversports. Once your account is activated, you will find them ready and waiting in your new profile. There’s nothing else you need to do at this stage – everything has been prepared for a smooth transition.

How to activate your account:

Once you receive the activation email, simply follow the instructions it contains. Please make sure to also check your spam or promotions folder, in case the email lands there by mistake.

After activation, you can log in to your account and book your regular classes as usual. If you haven’t used Eversports before, don’t worry - the system is simple and intuitive. You can access it via the web or download the Eversports app for iOS or Android.
