Remove or Delete Customers

Learn how to delete customer data in compliance with the data protection

As you are certainly aware, you are legally obliged to delete a customer's personal data upon their request. However, before proceeding with the deletion, it is essential that you save their visit records and invoices, as these may still be required for administrative or legal purposes. 

Pleas note: 

  • Customers visits will remain recorded in the system to ensure the accuracy of your booking history and revenue reports
  • There is a statutory retention period for invoices (Germany: 10 years, Austria 7 years).

To ensure compliance while maintaining proper record-keeping, we recommend creating an anonymous customer profile to which the relevant visits and invoices can be transferred.


Step-by-Step Instructions

You can proceed as follows:

  1. Create a new fake customer account that you name for example "Customer Deleted".
    You do not have to fill out the remaining fields.
    You can assign this anonymous customer to the customer group “External”.

  2. In the old profile, you could also manually remove all personal information except the first name.
    Now you can merge the old customer with the fake profile. Go to the menu Customers and click on More > Merge Customers to transfer the data of the old profile to the newly created fake profile.

  3. You can choose the Profile that needs to be deleted as the old customer and the fake Profile as the new customer.

    1. Check the box "Remove the old customer after merging" at the bottom, to automatically delete the old profile. and click on “Merge customer data”. For instance, you can enter GDPR as a comment.

    Important Notes:

    • Past invoices will still show the customer’s original address, as this is a legal requirement.
    • All visit data will now be associated with the anonymous profile, thus no longer traceable to the individual.
