Remove customers
Delete customer data in compliance with the data protection
As you certainly know, you are legally obligated to delete the data of your customer at their request.
If a customer has such a request, it is important that you save his/her visits and invoices before deleting the personal data.
The visits of the customers will be still recorded in the system in order that your booking history and revenues remain correct.
Remember there is a fiscal retention obligation for invoices (Germany: 10 years, Austria: 7 years).
Therefore, we suggest you create an anonymous customer to whom the visits and invoices will be transferred.
You can proceed as follows:
-
Create a new fake customer account that you name for example 'Customer Deleted'.
You do not have to fill out the remaining fields.
You can assign this anonymous customer to the customer group “External”. -
In the old profile, you could also manually remove all personal information except the first name.
Now you can merge the old customer with the fake profile. Go to the menu Customers and click on More > Merge Customers to transfer the data of the old profile to the newly created fake profile. -
You can choose the old and new customer and click on “Merge customer data”. For instance, you can enter GDPR as a comment.
As it is legally binding, past invoices still carry the old customer's address. However, now all visits are anonymous.
4. Now that you anonymized the old customer profile, you can delete it.
For this, open the old customer profile which is now empty, then click on the three dots on the top right and choose “Delete customer”.
