Tasks Before Migrating Data from Fitogram to Eversports

Before starting the data migration between Fitogram and Eversports, there are several tasks you need to complete. This article will guide you through them.

 Some important information to keep in mind before the migration:
  1. There can only be one data migration, so please carefully consider when you want to carry out the migration.
  2. All activities carried out in Fitogram after the migration—whether bookings, sales, or other actions—must be manually entered into the Eversports Manager. We recommend starting to use the Eversports Manager for daily operations as soon as possible after the migration.
  3. The migration process takes a few minutes at most, depending on the amount of data.
  4. We recommend setting aside sufficient time on the day of the migration to make adjustments and clean up as necessary.

The following data will be migrated from Fitogram:

  • Customer data
  • Passes
  • Pass assignments to customers
  • Activities/Events
  • Customers' visit history from the past 24 months (2 years)
  • Future bookings of customers for upcoming events

The following data will not be migrated:

  • Memberships (please refer to the note in section 1)
  • Vouchers
  • Past B2C and B2B invoices

1) Steps to Complete in Eversports Manager Before the Data Migration

Wallet

To ensure that your customers can conveniently pay online and that payouts are made to you accordingly, you need to verify your online wallet.
Here is a step-by-step guide.

Settings

Make sure to review and adjust the following areas to fit your preferences:

Images and Descriptions

We recommend adding images and a description (plus FAQs) to your Eversports profile.
Click here for more details about images. We recommend uploading 7 images (1 logo and 6 additional images) to complete your profile.

Memberships

If you don’t work with memberships, you can skip this section.

Unfortunately, memberships (with all their rules and invoices) cannot be technically migrated. However, a pass will be created in Eversports for each active membership, so the data will at least be included in the system.

Memberships must be manually assigned in the Eversports Manager after the data migration.

2) Steps to complete in Fitogram Before the data migration

Teachers

All teachers should have an email address associated with their account in Fitogram. If a teacher is also set up as a customer, make sure the email addresses match.

How to Block Bookings in Fitogram

After switching from Fitogram to Eversports, you need to take some steps to prevent further bookings in Fitogram:

  • Set all products to be unavailable for online purchase in their settings
  • Archive all event groups
  • Disable all online payment methods
  • Remove the link to the Fitogram online booking tool from your website and social media channels

3) Prepare communication for your customers

We recommend you to inform your customers before the migration that you will switch the software.  Here you can find a template for the announcement.

After the migration, you will be able to invite your customers through Eversports.
Please already prepare a text, which you can use then for inviting your customers to use Eversports. Here you find a template for the invitation email.
